Video Conferencing Troubleshooting

(adapted for NRAO from a Polycom document)

SYMPTOM CAUSE SOLUTION
Audio
Not enough volume during a call. Volume set too low on ViewStation Turn up the ViewStation volume using the remote control
Volume set too low on TV monitor Turn up the volume on your TV monitor using VOLUME + button above TV screen.
No audio in call. Monitor audio input not connected properly. Check audio output by selecting "Generate Tone" under Diagnostics Menu. You should hear a 400-Hz tone.
Far site is muted. Ask the Far site to un-mute.
Too many line errors. Disconnect call and reconnect later.
ViewStation connected to the wrong audio input on the monitor.  
Volume of incoming call ringing and other sound effects too loud or too soft. Sound effects volume not set desired level. Adjust the sound effects volume on the Setup Audio screen. If you do not want to hear sound effects, set the volume to 0.
Audio clipping at Far end when using an external wireless microphone. Audio input is overdriven on the ViewStation. Turn down output of wireless microphone. Put the ViewStation in local loop and adjust microphone output till your audio comes back clear and crisp with no clipping.
Local audio can be heard when speaking in the microphone. The monitor or amplifier are connected to the VCR audio output. Connect the monitor or audio amplifier to the monitor audio out of the ViewStation.
Near Mute icon on all the time. Microphone is not connected properly. Check microphone connection. Note that microphone cable should not be longer than 60 feet.
An echo is heard at the Near site when speaking. Echoes can be caused by a Far site if their microphone is too close to their audio speaker for your site. At the far site, make sure the microphone is placed away from the audio speaker.
The Far site audio volume may be too loud. Ask the Far site to turn down the audio volume.
Near site or Far site can not hear VCR audio. VCR input is not selected. Turn on the VCR audio input by selecting the NEAR key twice and selecting the VCR icon.
Video
No picture on the TV monitors. System goes to sleep mode after 10 minutes of inactivity. Pick up the ViewStation remote control to wake up the system.
TV monitors are powered down. Turn on the TV monitors ... POWER button is to right of row above each TV screen.
TV monitor shows broadcast signals. TV was tuned to broadcast channel by previous user. Press TV/VIDEO button at left of row above TV screen to select local video input.
Same/similar picture is seen on both monitors. Only your site has connected to the NRAO hub. This is normal if yours is the first site to connect to the NRAO multi-conferencing hub at the start of a multi-site meeting. One of the pictures will seem a little jerky: this is your own signal as reprocessed by the hub, and will be replaced when the next site connects.
Monitors are connected to the same output (pictures identical). Monitor 1 has a composite as well as an S-Video output. Connect Monitor 2 to the Monitor 2 connection on the rear panel of the ViewStation.
Picture freezes often during a call. Line transmission errors. If persistent, ask your technical contact to check the Error Count under the Diagnostics Menu. Your system may also be checked by doing a local loopback under the Diagnostics Menu. If your picture does not freeze, perform the same test at the Far system. Then perform a Far end loopback during a call: if the picture freezes there are line errors.
Errors in Polycom ViewStation. This condition, rare and origin unclear, can usually be cleared by power cycling the Polycom Viewstation.
Picture slow/jerky. Too much motion in the picture you are receiving, or network errors. Observe whether situation improves when there less motion at the far site, or less network traffic.
Camera voice tracking does not work. Automatic camera tracking was turned off by you or by Far site (in a point-to-point call). Camera tracking is turned off if you or the Far site adjust your camera manually. Press AUTO button on ViewStation remote to restore automatic tracking.
The Far site is speaking/noisy. The camera stops tracking when the Far site is loud (to prevent the camera from seeking your own monitor speaker!).
Near site is on MUTE. The near end camera does not track when the near end is on MUTE. Toggle mute functions with the MUTE button.
Near site is noisy or too many people talking at once. Reduce the noise in the room.
Blue screen on the TV monitor. No video input. Check that there is a video source on the selected input.
The VCR input is selected and the VCR is idle or not running (most VCR's generate a blue screen when the tape is not playing).

Select a different input on the ViewStation or play a tape on the VCR.
View from Near end camera does not pan or tilt. You are trying to move a camera with the incorrect remote control. Only the main camera is controlled by the ViewStation remote unit; secondary cameras have their own remote controls.
You have selected FAR camera control from the ViewStation remote unit. Select NEAR camera control.
System Control
System does not go into sleep mode between meetings. The system will enter sleep mode only when showing the Polycom Top Menu level. Leave the ViewStation at Top Menu level between meetings if sleep mode required.
System does not respond to the hand-held remote control. No batteries in the remote control. The green light at the front of the ViewStation should blink with each button press on the remote control.
Batteries installed incorrectly. Insert batteries with correct +/- position.
Low battery icon on the screen Low battery in the remote control. Replace the AAA batteries in the remote control.
General
System does not enter power save sleep mode between meetings. The system will enter sleep mode only from Polycom Top menu level. Leave system at Top Menu level after meetings
Slow blinking green light appears on the front of the ViewStation. The system is sleeping. System is in power save sleep mode. This is normal. The system will wake up on any action from the remote control or on an incoming call.
Red light appears on the front of the ViewStation. The system is in a call. This is normal.
Green light appears on the front of the ViewStation. The system is not in a call. This is normal.
System starts in the Software Update screen. System software is corrupt or not loaded properly. Load system software on the ViewStation from your PC
